Transferring machines and registration certificates to a different company or group

About the transfer process

When companies are merged, all of the machines and registration certificates belonging to the merge from company are transferred automatically to the merge to company.

However, it may sometimes be necessary to transfer individual machines and registration certificates to a different company. For example, a company may only have acquired a subset of another company's assets.

The transfer machines function allows you to select one or more machines or registration certificates belonging to a registered company and assign them to another company and group. You cannot transfer a machine or registration certificate to a different company if that company already has a machine or certificate with the same name.

The function also can be used to assign the entire contents of a selected machine or registration certificate to a single group within the current registered company.

Starting the transfer process

In the Activation menu, select Transfer Machines. The Search Machines to Transfer page displays to allow you to search for and select the machines and registration certificates to transfer. See Searching for machines and registration certificates to manage activated items for details.

In the results, check the check box next to each machine or registration certificate you want to transfer, then click Transfer Machines. To transfer all of the machines and registration certificates in the search results, click Transfer All Results.

Selecting the registered company

The Details page of the Transfer Machines process shows the current registered company for the selected machines and registration certificates.

If you can transfer the machines and registration certificates to a different company, to search for and select the company, click Select a Different Company.

The new company information displays below the current registered company. The registered user is set by default to the primary contact of the company. To search for and select a different registered user, click Select a Different User.

To edit information about the currently selected company, click the Edit link. Whether you are able to edit the company information depends on your security privileges.

Selecting the group

Select the group to assign all of the items on the machines and registration certificates to. Either:

Whether the group selection displays as a dropdown or a field depends on the number of available groups.

Depending on your security privileges, you may be able to edit or create a group. To edit the selected group, click Edit Group. To create a new group to assign the machine to, click Add Group.

Preventing LACs from being split between companies

If you are transferring the machines to a different company, then depending on the site configuration, a Prevent LACs from being split between companies check box is displayed.

If the check box is checked, then if the transfer would cause the same LAC to be assigned to entitlements that belong to different companies, an error is displayed.

If the check box is not checked, then Poetic does not do this validation.

If the check box is not displayed, then the site configuration determines whether Poetic does this validation.

Transferring the available quantity for the activated items

If you have the appropriate security privileges, a check box displays to allow you to also transfer the available quantities from the activated entitlements.

For example, an entitlement has a total of 10 seats. 5 seats are activated on Machine A, and 2 seats are activated on Machine B. 3 seats are available.

When Machine A is transferred, if the transfer available quantities check box is checked, then the 5 seats on Machine A and the 3 available seats are transferred to the new company or group. A new entitlement is created with a total of 8 seats - 5 activated and 3 available. If the check box is not checked, then only the 5 seats on Machine A are transferred.

Depending on the configuration, to prevent a LAC from being split, Poetic may also transfer entitlements with the same LAC that have not yet been activated.

Completing the transfer

After selecting the company and group:

  1. Click Next.

    The Confirm page of the Transfer Machines process displays.

  2. If required, check the check box to accept the terms and conditions of the transfer.
  3. In the Email to field, type the email address or addresses to notify when the transfer is completed. Use commas to separate multiple addresses.
  4. From the Language dropdown, select the language to use for the notification.
  5. In the Comment field, provide any additional text to include with the message.
  6. You may also provide notes concerning the transaction. Having notes helps maintain the history of the activated items.
  7. When you are finished, click Finish.
