About running and scheduling reports

For each report, Poetic provides a criteria page with:

To display the criteria page for a report, on either the Standard tab or Favorites tab of the Reports Menu, click the Run link for the report.

Providing the report criteria

Each report has fields that you use to narrow the scope of the report to only the data you want to see. See the individual report help topics for details on the available criteria for each report.

Running or scheduling the report

The Report Run Criteria section of the report criteria page provides the options for running and scheduling the report.

Selecting the report action

From the Report action dropdown, select the option you want to use for running or scheduling the report.

Download now If you select this option, then when you click Run, the report is run based on the selected criteria. The report data is saved to a tab-delimited file.
View online now If you select this option, then when you click Run, the report is run based on the selected criteria and is displayed as a Poetic HTML page.

On the results page, to display a count of the total number of results in the report, click Get total count.

Schedule and receive via email If you select this option, then additional fields display to allow you to set up the schedule for running the report and the recipient for the report. The Run button changes to a Save button. When you click Save, the schedule information is saved and the report is added to the Scheduled tab.
Run once and receive via email If you select this option, then additional fields display to allow you to select the run time and recipient for the generated report. When you click Run, the report is run based on the selected criteria, and sent via email to the selected email address.
Post to File Share If you select this option, then when you click Run, the report is run based on the selected criteria. The report data is saved to a tab-delimited file, and is then posted to the Poetic File Share. See Downloading files from the File Share.
Schedule and post to File Share If you select this option, then when you click Run, additional fields display to allow you to set up the schedule for running the report and the recipient for the report. The Run button changes to a Save button. When you click Save, the schedule information is saved and the report is added to the Scheduled tab.

When the report runs, instead of being sent via email, it is posted to the Poetic File Share for retrieval. You would use this option, for example, for reports that contain a very large amount of data.

Creating a ZIP file

If you click the Zip download checkbox, then when you click Run, a ZIP file of the report results is created. This option is disabled for the View online report action.

Setting up the report schedule

If you select Schedule and receive via email, Run once and receive via email, or Schedule and post to File Share from the Report action dropdown, then additional fields display for you to set up the actual schedule.

From the Repeats dropdown, select how often the report runs. If you selected Run once and receive via email, the value is set to Run once and cannot be changed. The options are:

Run once To run the report only once, select Run once. Fields display to allow you to select the date and time to run the report.
  • In the Date field, set the date on which to run the report. Click the date picker icon to display a calendar tool for selecting the date.
  • In the Run at fields, set the time at which to run the report. Use military time. For example, to run the report at 2:00 AM, enter 02:00. To run the report at 4:15 PM, enter 16:15.
Daily To run the report every day at the same time, select Daily.

Weekly To run the report at the same time every week, select Weekly.

  • From the Day of week dropdown, select the day of the week on which to run the report.
  • In the Run at fields, set the time at which to run the report. Use military time. For example, to run the report at 2:00 AM, enter 02:00. To run the report at 4:15 PM, enter 16:15.
Monthly To run the report at the same time each month, select Monthly.

  • From the Day of month dropdown, select the day of the month on which to run the report.
  • In the Run at fields, set the time at which to run the report. Use military time. For example, to run the report at 2:00 AM, enter 02:00. To run the report at 4:15 PM, enter 16:15.
Quarterly To run the report once per quarter (every three months), select Quarterly.

  • From the Day of month dropdown, select the day of the month on which to run the report.
  • From the First month dropdown, select the first month in which to run the report.
  • In the Run at fields, set the time at which to run the report. Use military time. For example, to run the report at 2:00 AM, enter 02:00. To run the report at 4:15 PM, enter 16:15.
Yearly To run the report once per year, select Yearly.

  • From the Day of month dropdown, select the day of the month on which to run the report.
  • From the First month dropdown, select the first month in which to run the report.
  • In the Run at fields, set the time at which to run the report. Use military time. For example, to run the report at 2:00 AM, enter 02:00. To run the report at 4:15 PM, enter 16:15.

Setting up emailed reports

If you select Schedule and receive via email or Run once and receive via email from the Report action dropdown, then below the scheduling fields are fields to configure the email address(es), subject line, and language.

Email to In the Email to field, type the email address or addresses that should receive the report. Use commas to separate multiple addresses.
Name/Subject line In the Name/Subject line field, type the subject line for the email. In addition to this text, the actual subject line also contains the report name and publisher identification.
Email language From the Email language dropdown, select the language in which to send the report.
