The Filter Notification Templates page initially displays the entire list of templates.
To filter the list, provide filter criteria, then click Filter Templates. You can filter the list based on:
You can create copies of existing templates in order to have different versions available. For example, you might want to have different versions of the Invite to Activate notification available to reflect different types of customers.
To create a copy of a notification template, click its Copy link.
The Notification Template Header page displays.
To edit an existing template, click the Edit link for that template.
The Notification Template Header page displays.
Notification name | The Notification name field contains the name used to identify the template in the database.
If you are editing an existing template, then you cannot edit the name. If you are creating a new copy of a notification, then in the Notification name field, set the template name. Notification names are in all caps and cannot contain spaces. For example: INVITE_TO_SITE_EAST_COAST. |
Notification description | In the Notification description field, you can edit the descriptive name of the notification. For example: Invite to site (for East Coast). The description is always editable. |
Template used for | The Template used for field is not editable. It is used to show the basic purpose of this template. For example, all templates in the Invite to Site category are designed to be sent to new Poetic users.
When you create a copy of a template, the copy automatically inherits the value of Template used for from the original template. |
Delay before sending | In the Delay before sending field, type the number of minutes to wait between the time the notification is triggered and the time it is sent.
For example, when sending invitations to new users, you may want extra time to make sure the data is completely up to date before the new users try to log in. To have the notification sent immediately, leave the field blank. |
Ignore privacy flag | To send the notification even if the user has opted not to receive messages, check the Ignore privacy flag check box.
The publisher decides whether to use this option. In some cases, publishers may be legally required to respect the user's choice. |
Use user's preferred email address | To use the user's preferred email address (set on the user Preferences tab) for receiving communication from Poetic, check the Use user's preferred email address check box. Otherwise, the message is sent to the email address set on the user Overview tab. |
Send email notifications as PDF | To send the notification as a PDF file attached to the email message, check the Send email notifications as PDF check box.
For this option to be available, the Registry IS_PDF_NOTIFICATION_FORMAT_SUPPORTED must be set to True. |
Below the preferences for sending the notification is the list of versions of the template.
When you first create a copy of a notification template, this area is blank. To edit the content, you must save and then edit the template.
For details on editing and localizing the notification content, see Editing and localizing the content of a notification template.
From the Default from dropdown, select the default call center region. The default region is used to determine the "from" and BCC addresses when the country of a recipient cannot be determined.
For example, if the default from region is set to North America, then when the notification is sent to an email address that is not in Poetic, the from and BCC addresses are set to the addresses configured for the North America region.
This setting can be important for tax optimization purposes, to ensure that the from address and recipient are in the same geographic location.
For each call center region, in the From address field, type the email address to display in the "From" line of the notification email.
For each call center region, in the BCC field, type the email addresses that should receive a copy of the notification when it is sent. Use commas to separate multiple addresses.
Using these settings is recommended to ensure each call center has a copy of the notification. This is particularly important if a user loses an email and needs to be sent another copy.
For each call center region, in the Alternate field, type the email addresses to send the notification to if the intended recipient does not have an email address in the system. Use commas to separate multiple addresses.
This is also used to handle undeliverable or returned emails, allowing the publisher to take alternative action to notify the user.
