About company types

Each company in Poetic is assigned a company type. The company type controls:

Displaying the list of company types

You manage company types from the List Company Types page. To display the page:

  1. On the Administration menu, click Site maintenance.
  2. On the Site Maintenance menu, click the Access Control tab.
  3. On the Access Control tab, click Company types.

Adding or editing a company type

To add a company type, click Add a company type.

To edit a company type, click the Edit link for the company type you want to edit.

The Company Type Maintenance page displays.

When you have completed the changes, click Save.

Setting company configuration rules

The Company Settings section of the Company/User Configuration tab contains settings for configuring companies of this company type.

Setting basic company type information

Name In the Name field, type the full name of the company type.

Once a company type is created, you cannot change the company type name.

Code In the Code field, type the code (up to 5 characters) used to represent the company type. Once a company type is created, you cannot change the company type code.
Tier From the Tier dropdown, select the tier the company belongs to. The tiers are as follows:

Ops Tier Reserved for the publisher and its application administrators. The Ops Tier has unlimited access to Poetic data.
Channel Tier Used for distributors and resellers who buy and sell products for the publisher.
EndCo Tier Used for companies that buy products for their own use. They cannot sell products to other companies.
Eval Tier Used for companies who are evaluating software but have not made a purchase.
Active To make the company type available for use, check the Active check box.
Is direct To indicate that the company has a direct relationship with the publisher and is typically considered the sold-to and bill-to on orders, check the Is direct check box.
Restrict company search results To restrict company searches by companies of this type, check the Restrict company search results check box.

If the Registry setting IS_COMPANY_PRIVACY_RULE_ON is set to true, then when a user from this company type searches for a company, the number of search results must be less than or equal to the value of the Registry setting RESTRICTED_COMPANY_SEARCH_LIMIT.

For example, if RESTRICTED_COMPANY_SEARCH_LIMIT is set to 5, then for users belonging to company types with restricted company searches, a company search only returns results if the criteria match 5 companies or fewer. Otherwise, an error message displays indicating that the user must narrow the search criteria.

Company search restrictions do not apply to the administrative company maintenance functions.

Setting rules for company pub IDs

Pub ID generation method From the Pub ID generation method dropdown, select the method to use to generate pub IDs for companies of this type. This includes pub IDs for bill-tos and ship-tos.
Company pub ID requirement From the Company pub ID requirement dropdown, select an option to indicate whether pub IDs are required, optional, or never used for companies.

Setting user configuration rules

The User Settings section on the Company/User Configuration tab contains settings for configuring users belonging to companies of this company type.

Selecting the allowed security roles

The page includes a check box for each of the security roles within Poetic. Check the check box next to each role allowed for users belonging to companies of this company type.

Setting the default role for users

Primary contact The primary contact is used as the default registered user for activated items, and the default point of contact for contracts and orders.

From the Default Security Role dropdown, select the default security role to assign to the company primary contact when a new company is created. The role must be one of those allowed for the company type.

From the Invite to Site dropdown, select whether to send an Invite to Site notification to the company primary contact when the company is created.

Other users From the Default Security Role dropdown, select the default security role for new users other than the primary contact.

The role must be one of those allowed for the company type.

From the Invite to Site dropdown, select whether to send an Invite to Site notification to new users.

Setting information required for users

Under Required information, check the check box for each item required for users of this company type:

Address To require a mailing address for users in companies of this type, check the Address check box.
Email To require an email address for users in companies of this type, check the Email check box.
Phone To require a phone number for users in companies of this type, check the Phone check box.
Email or phone To require either an email address or a phone number for users in companies of this type, check the Email or phone check box.

Setting rules for creating new logins

Login name creation From the Login name creation dropdown, select the option for creating a login name.

To provide a login name field to allow users to specify a login name other than the email address for a new user, select Prompt for login name. If a login isn't specified, Poetic uses the email address as the login name.

To always use the email address as the login name, select Use email address as login name.

Ask whether to create login Not all user profiles need to have access to Poetic.

To ask whether to create a login for a new user profile, check the Ask whether to create login check box.

If this box is checked, a Create login check box is displayed on the User Profile Maintenance page.

If this box is not checked, then the login is not created and the user cannot log into Poetic.

Configuring external validation for users

External validation method From the External validation method dropdown, select the external method for validating user profiles.

Adding an external validation method requires additional code.

Validate with external system before saving To validate each new user profile using a system external to Poetic, check the Validate with external system before saving check box.

Setting rules for orders

The Order Settings tab contains settings related to orders for companies of this type.

Selecting the allowed payment methods

The Order Settings tab contains a check box for each payment method. Check the check box for each payment method allowed for bill-tos belonging to this company type.

Setting bill-to and ship-to pub ID rules

Ship-to pub ID requirement From the Ship-to pub ID requirement dropdown, select an option to indicate whether pub IDs are required, optional, or never used for ship-tos.
Bill-to pub ID requirement From the Bill-to pub ID requirement dropdown, select an option to indicate whether pub IDs are required, optional, or never used for bill-tos.
Allow duplicate bill-to pub IDs To allow bill-tos to share the same pub ID, check the Allow duplicate bill-to pub IDs check box.

Setting the default price class

Default price class From the Default price class dropdown, select the default price class to use to calculate prices for orders created by users belonging to companies of this type.

Setting rules for renewals

You use the Renewal Settings tab to determine the default renewal rules for companies of this type.

Determining whether to display reseller renewal preferences for the company

If the Include customer renewal settings on company maintenance check box is checked, then for companies of this type, the Preferences tab of the Company Profile Maintenance page includes check boxes to set access to renewal notifications, Renew Now, and renewal requests for the company's customers.

These settings are used by reseller companies.

The check boxes after this determine the default values of those check boxes for companies of this type.

Default reseller settings for renewal notifications

Under Renewal notifications:

Do not send renewal notifications To by default prevent the company's customers from receiving renewal notifications, check this check box.
Do not send post-expiration notifications To by default prevent the company's customers from receiving post-expiration notifications, check this check box.
Do not allow Renew Now To by default prevent the company's customers from using the Renew Now function on renewal notifications to purchase renewals immediately, check this check box.
Do not allow renewal requests To by default prevent the company's customers from creating renewal requests from renewal notifications, check this check box.

Default reseller settings for the Renewal Dashboard

Under Renewal Dashboard:

Do not allow Renew Now To by default prevent the company's customers from using the Renew Now function on the Renewal Dashboard to purchase renewals immediately, check this check box.
Do not allow renewal requests To by default prevent the company's customers from creating renewal requests from the Renewal Dashboard, check this check box.
