About order modes

Order modes determine the rules governing an order, including:

The order mode rules are in addition to specific rules for the product and program/contract.

Order modes can be restricted by region and company type. For example, the order modes that a channel partner can use are probably much less restrictive than the ones used by an end customer.

Displaying the List Order Modes page

You manage order modes from the List Order Modes page. To display the page:

  1. On the Administration menu, click Site maintenance.
  2. On the Site Maintenance menu, click the Orders tab.
  3. On the Orders tab, click Order modes.

Adding or editing an order mode

All new order modes must be copies of existing order modes.

The Order Mode Maintenance page displays.

Configuring the order mode name and description

In the Order Mode Header section:

Order mode name In the Order mode name field, type the name of the order mode. The name must be unique.
Code In the Code field, type the code to use to represent the order mode in the Poetic database. Must be unique.

Note that once a new order mode is saved, the code cannot be changed.

Pub ID In the Pub ID field, type the identifier used to identify the order mode in your external systems.
How to use In the How to use field, type any instructions for how the order mode is used.
Active To make the order mode available for use, check the Active check box.

Configuring rules for using the order mode

The Order Mode Rules section contains most of the rules for using the order mode to create order.

Sales organization rules

During order entry, it may be important to get information about the sales person or contact responsible for the sale, in order to properly calculate commissions.

Order modes can be configured to prompt for and require the sales organization. The actual list of sales organizations is kept in the ISV_SALES_ORG list.

In the Order Mode Rules section, under Sales organization rules:

Capture sales organization To allow users to provide a sales organization for an order, check the Capture sales organization check box.
Sales organization required To require users to provide a sales organization for an order, check the Sales organization required check box.

Pricing rules

For order modes, most of the pricing rules revolve around the ability to provide dates used to calculate order prices and dates.

In the Order Mode Rules section, under Pricing rules:

Show list price To display the list price for an order, check the Show list price check box.
Can specify pricing date To allow users to enter a date other than the current date to determine the price to use "as of" the date and to calculate the pro-ration period, check the Can specify pricing date check box.
Enable capture of license purchase date To include a Capture license purchase date check box on the Product Detail tab of the Order Entry page, check the Enable capture of license purchase date check box.

When customers check the Capture license purchase date check box during order entry, a License purchase date field displays in each order line on the Product Detail tab.

Enable capture of line-level pricing date To include a Pricing date field for each order line, check the Enable capture of line-level pricing date check box. If this box is checked, then the field displays only if the order is for a non-co-terminating contract and the user has the security CAN_SET_LINE_LEVEL_PRICING_DATE set to true. Line-level pricing dates are also only available for products other than renewal, upgrade, or physical products.

Billing rules

The billing rules settings include settings for:

In the Order Mode Rules section, under Billing rules:

Ask for purchase order date To require a purchase order date for orders that use this mode, check the Ask for purchase order date check box.
Aggregate invoices by purchase order To invoice all of a customer's orders together under one purchase order, check the Aggregate invoices by purchase order check box.
Display billing schedule To allow users to select a payment schedule for an order, check the Display billing schedule check box.
Tax required To have tax computed for the order, check the Tax required check box.
Calculate tax using From the Calculate tax using dropdown, select the party to use to calculate the tax for the order.

Shipping rules

The shipping rules include rules for selecting the carrier service and supplier.

In the Order Mode Rules section, under Shipping rules:

Ask for carrier To require users to specify a shipping company for the order from the publisher shipping options, check the Ask for carrier check box.
Can specify own carrier To allow users to enter a shipping company rather than selecting one from the list, check the Can specify own carrier check box.
All lines must be shippable from the same supplier location Each physical product is assigned a list of regions/suppliers that can ship the product.

To require that all products on an order be able to ship from the same supplier location, check the All lines must be shippable from the same supplier location check box.

For example, if this check box is checked, and one product can only be shipped to the East Coast region, and the other can only be shipped to the West Coast region, then an error would display.

Determine publisher company region using From the Determine publisher company region using dropdown, select the party to use to determine the region the order is placed under.

For example, if you select the sold-to, and the sold-to is located in the East Coast region, then the East Coast region is used for the order.

Bill-to/ship-to must be in the same From the Bill-to/ship-to must be in the same dropdown, select the type of restriction on the location of the bill-to and ship-to.

For example, the bill-to and ship-to may need to be located in the same country.

Configuring survey questions

The Order Mode Survey Questions section allows you to configure the survey questions to ask concerning the order contract or the order sales organization.

To add rows to the list, click Add rows.

For each question:

  1. To search for and select a question, click the Find link.

    You can only select order billing/contract and order sales organization questions. You cannot select order entry questions configured at the program level.

  2. In the Display Seq column, type the order in which to display the questions.

To clear the selections for a row, click the Clear link for that row.

Configuring the notification templates to use

In the Notification Templates section, select the specific template to use for each type of notification if it is sent from an order that uses this order mode.

The list of order notification templates is kept in the NOTIFICATION_TEMPLATE_ORDER list. For each list value, the codes is the name of a notification template (ORDER_ACK, ORDER_CONFIRMED, etc.).

The list of Invite to Activate templates is kept in the NOTIFICATION_TEMPLATE_INVAC list.

Configuring order parties for the order mode

Setting the display sequence

On the Order Mode Maintenance page, the Order Parties section lists the available types of order parties:

In the Display seq field, type the order in which to request the party type information during the order process.

Displaying the Order Mode Party Settings page

To edit the details concerning a party type, click the Edit link for the party type.

The Order Mode Party Settings page displays.

Availability rules

In the Party Settings section, under Availability:

Active To make the party type available for orders that use the current order mode, check the Active check box.
Party is required To require users to provide information for this party type during the order process, check the Party is required check box.

For example, if all orders that use this order mode must have an end customer, then check the Party is required check box for the ENDCO party type.

Ship-to/bill-to rules

In the Party Settings section, under Ship-to/bill-to rules, you determine whether this party may be the ship-to or bill-to party:

Can be the ship-to party To allow this party type to be designated as the ship-to party, check the Can be the ship-to party check box.

For example, if the order can never be shipped to the dealer, leave this check box unchecked for the DELCO party type.

Must be the bill-to party To require users to designate this party type as the bill-to party, check the Must be the bill-to party check box.

For example, if all orders must be paid for by the end customer, check this check box for the ENDCO party type.

Add/edit company rules

In the Party Settings section, under Add/edit company, set whether the user can create a new company or edit the selected company for the party:

Can add a new company To allow users to create a new company for this party type during the order process, check the Can add a new company check box.
Can edit the company To allow users to edit the company profile for this party type during the order process, check the Can edit the company check box.

End user information rules

In the Party Settings section, under End user information, specify whether the user must select a specific user from the party:

Capture end user To require users to select an end user for this party type, check the Capture end user check box.
Capture end user location To require that the end user information include address information, check the Capture end user location check box.

Payment reference number rules

Reference numbers are numbers used by another company to refer to the order. The number is usually associated with the company's accounting system.

In the Party Settings section, under Payment reference, specify the rules for providing a reference number for this party:

Capture payment reference To allow the user to provide a reference number, check the Capture payment reference check box.
Payment reference is required To require the user to provide a reference number, check the Payment reference is required check box.
Prevent duplicate order reference # within (X) days Required. In the Prevent duplicate order reference # within (X) days field, type the number of days that must pass before a duplicate order reference number can be used.
Warn on duplicate order reference # within (X) days Required. In the Warn on duplicate order reference # within (X) days field, type the number of days that must pass before a duplicate order reference number can be used without a warning.

Configuring order notifications for the order party

In the Order Notifications section, select which notifications the party can receive.

Order Acknowledgement Notification From the Order Acknowledgement Notification dropdown, select the rule for sending an order acknowledgement to this order party.
Order Complete Notification From the Order Complete Notification dropdown, select the rule for sending an order complete notification to this order party.
Order Tracking Notification From the Order Tracking Notification dropdown, select the rule for sending an order tracking notification to this order party.

Configuring the allowed company types for the party

In the Allowed Company Types section, check the check box next to each company type that can be used for the selected party type.

Saving the order party settings

On the Order Mode Party Settings page, click Save to save the party details and return to the Order Mode Maintenance page.

Configuring the regions where the order mode can be used

On the Order Mode Maintenance page, in the Allowed Regions section, check the check box next to each region that can use the order mode for order entry.

Configuring the company types that can use the order mode

In the Allowed Company Types section, check the check box next to each company type that can use the order mode for order entry.

Saving the order mode

To save the changes to the order mode, click Save.
